Responsibilities:

Responsible for general administrative duties, such as meeting scheduling and coordination, shipping and receiving, processing invoices, ordering office supplies and perform other duties as needed. This role may be customer facing to external customers and provides a high level of support to internal customers.

Essential Functions

• Event Planning - Work as the on-site support for sales and marketing

Coordinate meetings – schedule meetings in Outlook, reserve conference rooms, order and set up food, coordinate sales and marketing materials or A/V required for meetings, take meeting minutes, etc.

• Office Assistance

Order and maintain office supplies

Coordinate shipping and receiving

Coordinate with outside vendors (i.e. janitorial, office equipment maintenance, etc.)

• Finance assistance -

Receive and process invoices; support accounting with accruals and receivables

Assist with tracking of site budget

• Provide general customer support – coordinate access with security and provide support for sales tours

• Write memos, business letters, and general notices as needed

Qualifications:

• Customer service skills

• Communications skills, both verbal and written, in English

• General office skills relative to phone manners and business correspondence

• Proficient with MS Outlook, Excel and MS Word

• Accounting skills to manage basic A/P, A/R

• Negotiation skills relative to managing vendors

• Type more than forty words per minute

• Clear, legible handwriting

• Organized

• Detail oriented
