We aim to be the primary service provider for the people and entities responsible for the care, movement, and long-term preservation of art and culture.
To that end, our Client Services Administrator is responsible for supporting the Project Management team with a key focus on; Data entry, internal compliance, expediting billing, as well as opportunity management in our Customer Relationship Management tool for specified Accounts.

The Successful Candidate Will:
General administration and data entry support for assigned Project Team
Tracking and following up with internal departments to ensure tasks are closed in a timely manner
Ensure clients are invoiced appropriately by reviewing the estimate and comparing it to the final Project invoice
Manage all additional billing and invoicing procedures [including task approval, credit memos & rebills, intercompany billing, vendor invoices, project invoice review, split billing, discount distribution and coordination with Account2Cash dept] for Project Team
Working directly with Vendors and relationship management including; Vendor add processes, invoicing and maintaining internal spreadsheets on Trusted Vendors
Assist assigned team with estimates and task entry in our Art Inventory Management System
Monitor regular reporting around operations and financial compliance
Help maintain Project files and archive
Leading regular CRM data maintenance activities specific to assigned accounts to help the organization ensure accurate, relevant information is available to all who need it

Skills and Behaviors:
Administrative support experience in a professional environment
Excellent verbal communication, written communication, and proofreading skills
Keen sense of accuracy and attention to detail
Highly organized
A professional demeanor and the ability to handle matters confidentially
Ability to provide excellent internal client service and exhibit a sense of urgency to complete duties in a timely manner
Ability to interface well with all levels of employees and third-party parties in a highly professional and friendly manner
Proven team player
Desire to be part of a rapidly expanding business
Salesforce CRM experience recommended, but not required

Reasonably expected salary range: $38,600.00 - $48,300.00
