THE OPPORTUNITY

Title: Senior Bid Manager

Location: Spain

Job summary

The Senior Bid Manager supports our global sales teams by managing responses to complex RFx (Tenders, Bids, Information) documents. This role plays a pivotal role in supporting public sector and commercial opportunities within Spain, producing high-quality, client-centric and deadline-driven bids in a rapidly growing market.

You lead the end-to-end bid development process, from pre-release of tenders through submission. You have a detailed understanding of Spain's public sector bid process and can coach teams on proposal best practices that create client-focused win strategies for each submission. Key responsibilities include assisting in qualification, providing existing and new content, editing documents for consistency and submitting compliant professional proposals. The Senior Bid Manager remains involved with the opportunity after submission to assist with presentation development, best and final offers, debrief sessions and lessons learned discussions.

This role requires a deep understanding of the bid process, including analysis of client issues and requirements and the ability to translate a solution into a compelling value-added proposal. Your experience includes the ability to build trusted relationships with key stakeholders across business lines, and a track record of delivering successful outcomes for clients. You develop bids that focus on resolving client issues and driving positive change while ensuring that documents are consistent with Iron Mountain’s messaging, positioning and brand.

Your role in our mission:

  • Manage the complete lifecycle of multiple, concurrent bids following defined processes and taking responsibility for the quality, accuracy and integrity of the final bid. Reviews tenders to identify critical requirements and conduct needs analysis with sales and other stakeholders.

  • Lead each assigned tender, setting and maintaining bid schedules, assigning tasks and supporting all deliverables. Effectively manage complex responses and multiple deadlines.

  • Analyse client needs and business drivers to ensure win themes, client benefits and evaluation criteria are addressed throughout the bid. Work with the sales lead to ensure the bid strategy aligns with the sales strategy.

  • Write and edit bid sections for continuity, logic, organisation, message and compliance to emphasise Iron Mountain differentiators.

  • Communicate with designated subject matter experts to understand complex solutions, and develop and write non-standard responses to bid questions. Maintain professional working relationships with SMEs in function groups such as HR, Marketing, Legal, IT, Security and Operations.

  • Work with recognised external partners and manage a centralised bid process that enables alignment to key bid deliverables.

  • Leverage past professional experience to identify and introduce process improvements and best practices related to bid management. Champion efforts to ensure all deliverables are aligned with the firm’s brand.

  • Perform win-loss debriefs and lessons learnt reviews/analysis, and capture feedback for continuous improvement of the bid process.

  • Create and help maintain bid content and other internal/external resources that can be used by the entire team.

Additional Responsibilities:

  • Assist sales with creation of questions and strategies for clients before release of a formal tender.

  • Support preparation of other deliverables related to the business opportunity, such as presentations and best and final offers. Assist with messaging, slide creation, strategy and coaching.

  • Develop and maintain a strong understanding of all Iron Mountain products and services and their corresponding value proposition.

Valued skills and experience:

  • Substantial experience managing a defined bid process for the Spanish public sector and commercial clients, alongside extensive experience in winning complex service opportunities.

  • Proven track record in leading cross-functional teams that encompass subject matter experts from various corporate areas; writing and editing bid answers and executive summaries that highlight differentiation and alignment with client needs

  • Experienced with service-based and/or technology solution selling in bids

  • Ability to effectively manage multiple, simultaneous projects in a fast-paced environment

  • Excellent organisational skills and attention to detail required

  • Native Spanish speaker alongside fluency in English

  • Proficiency with use of MS Office, Google Suite, Adobe Acrobat and similar technology, and experience with content management systems preferred (Responsive, Loopio, Qvidian)

  • Excellent writing, editing and proofreading skills

  • Additional language fluency, particularly French or Portuguese, highly desirable

  • Association of Proposal Management Professionals (APMP) membership/certification a plus
