Location: Poland/ Germany/ Netherlands/ Hungary/ Romania

Work type: 100% remote

Primary purpose of the role:

The Process Improvement Professional plays an important role in designing, implementing, and refining HR policies, processes and procedures to enhance efficiency and effectiveness for employees.

This critical role collaborates with cross-functional teams to document policies, roles and responsibilities and end-to-end processes. While doing so, they proactively identify opportunities for improvement addressing bottlenecks and waste, and proposing enhancements that prioritize the employee experience. They also ensure alignment with regulatory requirements and organizational policies.

Your role in our mission:

  • Create the policy and process deliverables documentation; conduct a gap analysis for EMEA

  • Work with HR stakeholders to prioritize the sequence with which policies and processes will be documented and standardized (i.e., build the plan); 200 processes across the HR taxonomy

  • Based on the prioritization:

  • Establish ownership for each process

  • Work closely with cross functional/regional teams to assess the current policy, process and workflow, gather input and develop and implement solutions that address issues/concerns

  • Clearly document missing policies, roles and responsibilities and the end-to-end process in a way that is consumable for stakeholders on an ongoing basis

  • Coordinate with cross-functional (outside of HR) teams as needed to ensure full incorporation into the end-to-end process

  • Provide support and training and education on new or change processes

  • As part of the policy and process documentation and standardization:

  • Identify opportunities to leverage AI in the end-to-end process and work with the Strategic Initiatives Director to incorporate in the HR AI Roadmap

  • Proactively identify opportunities to enhance HR processes to improve efficiency and streamline operations

  • Ensure that process innovations prioritize the employee experience, fostering engagement, satisfaction and productivity

  • Design and implement solutions and processes, leveraging best practices, where possible at a global scale with limited regional adoption (except where legally required)

  • Ensure that there is a governance framework in place for HR to:

  • Regularly assess processes, gather feedback and make adjustments as needed to optimize efficiency and effectiveness at a Global level where possible

  • Conduct regular audits as defined within the HR Policy and Process Framework to ensure processes remain up to date and compliant with IRM internal policies and external regulations

  • Analyze data and metrics to measure the impact of process improvements on key performance indicators

Functional Knowledge, Skills, and Competencies:

  • Experience and awareness of process improvement methodologies such as Lean Six Sigma, Agile or Kaizen to effectively identify, analyze and implement process enhancements

  • Capability to analyze data and metrics to measure the impact of process improvements and identify areas of further enhancement

  • Strong communication skills to effectively convey changes to HR processes to stakeholders in a clear, simple and engaging manner

  • Proficiency in managing change and addressing concerns related to HR process changes

  • Thoroughness in conducting audits and ensuring compliance with internal policies and external regulations

  • Capability to resolve issues and address concerns related to HR processes, inviting feedback to ensure the voice of the customer is understood

  • Ability to collaborate effectively with cross-functional teams and stakeholders to gather insights, inputs, assess workflows, and develop solutions that meet the needs of the different and various stakeholders

  • Understanding of the importance of the employee experience and ability to identify process improvements that enhance employee engagement, satisfaction and productivity

  • Growth mindset, open to new ways of working and experience of bringing teams/groups together

  • Fluency in English is required and any European language will be a strong advantage (German, French, Swedish, or Dutch)
