Iron Mountain Compliance Analyst, Sales in Montreal, Canada

Responsibilities

The Compliance Analyst is responsible for gathering information, coordinating compliance reports, consolidating reports, verifying report coherence and presentation, and fielding questions from sales teams. Expertise in the reporting process, both internal to Iron Mountain and with regulators, would be developed. Attention to detail, analytical skills, excellent written and verbal communication abilities, and responsiveness are key attributes required for this role. The intent of this role is to mitigate risk of non-compliance and ensure accurate reporting as required by Canadian law.

Accountabilities: Reporting to the Director, Sales Operations, the Compliance Analyst leads the coordination and development of compliance reports from sales teams throughout the organization. Taking inputs from sales teams, the Compliance Analyst must track required deliverables, follow up on any deliverables not received, consolidate and edit reports for clarity and style, keep abreast of sales activities in reporting jurisdictions, and submit reports in a timely fashion.

Legal requirements for compliance reports require regular reporting of contacts to government officials along set timelines. The Compliance Analyst is accountable for collecting inputs and reporting on contacts by the prescribed timelines in various jurisdictions, as reflected in Iron Mountain’s internal policy on lobbying compliance.

Responsibilities:

  • Assist sales team with the content of compliance reports

  • Send out reminders on compliance reporting to sales teams

  • Reporting to management on progress and impediments

  • Coordinating lobbying registration inputs with sales teams

  • Generating reports on sales activities in a timely fashion, occasionally on short notice

  • Evaluating sales activities to determine reporting requirements

  • Keeping current with which institutions are targeted for sale activities across various business lines

  • Liaising with legal counsel at regular intervals to ensure internal processes keep up with legal developments

  • Developing and administering training on internal policies and procedures

  • Assist with Salesforce.com entries on non-standard activities/contacts

  • Assist with various projects on an as-needed basis.

Qualifications

  • Bilingual proficiency required

  • Excellent written and verbal communication skills

  • Technical literacy and computer skills; familiarity with Salesforce.com is an asset

  • Strong attention to detail particularly as it relates to data compilation and organization skills

  • Analytical skills

  • A compliance-focused mindset with an ability to follow up and communicate requirements

  • Ability to adapt quickly and effectively to changing workloads and business pressures

  • Familiarity with Canadian government structure

  • Ability to learn new systems and software as needed

  • Comfortable interacting with all areas of the organization including senior management

  • Prior experience supporting a Sales team is preferred

  • Education/Experience: 4-year college degree with minimum of 3-5 years administration experience
