Iron Mountain Library Services Technical Writer and Communications Specialist in Remote, Oregon

This is a critical role in driving growth within our new Library Services business. We are looking for a dynamic individual contributor librarian that can juggle many different simultaneous projects and responsibilities with independent deadlines. The ideal candidate must be a self-starter, able to work within a fast moving and intense start-up environment. Projects include

  • Provide support to Library Services SMEs through sales cycle

  • Managing, writing, and delivering new Library Services proposals

  • Manage RFP Discovery process, ensuring Iron Mountain is positioned to respond appropriately and timely to every new valid RFP opportunity

  • Customer success evangelizing: Document success for internal evangelizing and manage external customer success projects.

Required:

  • A librarian who understands the challenges faced by Iron Mountain customers

  • Analyze/ interpret/understand RFP requirements including PWS and related materials

  • Consistently deliver high quality proposals while refining as we continue to learn how best to win new business. Initially this resource will help us standardize what are now fully customized proposals while maintaining the bespoke nature of our deliverables to win opportunities .

  • Ensure consistent tone and readability across proposal documents and sections

  • Prepare final proposal sections by evaluating text and graphics; coordinate successful final production.

  • Ability to manage calmly under tight time constraints and the pressure of multiple deadlines

Responsibilities:

  • Deliver customized proposals and RFP responses for Library Services Opportunities

  • Project manage the proposal development process

  • Work with Library Services SME, MPL, and Sales to agree on solution, pricing, and timeframe

  • Generate custom language and tailor proposals to each client

  • Proofread in detail each proposal prior to being delivered to the client

  • Facilitate approvals on customization

  • Standardize and optimize our proposal process

  • Build templates and multi-faceted options for surfacing standardized content based upon:

  • The type of service being offered (relocation, storage, storage & relocation, digitization, consulting, metadata, transportation, etc.)

  • Type of library/archive market being addressed (public, academic, government, historical agency, corporate, archive, museum, etc.)

  • Size/type of organization (consortia, large public systems, individual library, etc.)

  • Pre-build standard content areas and formats for the proposal including sections related to project background, solution development, workflows

  • Develop formatted deliverables based on type of pricing deliverable: Pricing guidance letter, SOW without full proposal, proposal, RFP responses

  • Standardize pricing tables and legal information within proposals

  • Interface with proposal management team, proposal tooling team, our own Library Services automation team to optimize process

  • Educate reps on their input to proposals and RFPS

  • Evangelize the Library Services program internally and externally

  • Document customer success stories

  • Work with IM Marketing to update marketing content and run new programs

  • Surface and leverage Library Services expertise to create new internal and external blog posts

Characteristics required for the job:

  • Proven writing capability

  • Articulate communicator with ability to build consensus and manage time

  • Strong project management skills and the ability to coordinate and consolidate contributions and inputs from from SMEs, sales, operations, technical specialists, and leadership

  • Significant previous proposal writing/technical writing experience, and d emonstrated experience in writing about complex technical topics

  • Strong proficiency in MS Word (style sheets, formatting, review capabilities, etc.) and experience using PowerPoint and Outlook

  • Strong proficiency in MS Excel with ability to read and create pricing models

  • Strong proficiency in Google Docs

  • Ability to create graphical representations in support of documentation

  • Attention to detail, and ability to proofread and edit

  • Experience writing proposals in response to public/government competitive bids
